Managing property owners can be a challenge for many recreational business owners. However, by setting up the Owner Environment smartly and clearly, you can save a lot of time and effort. Customer Success Specialist Iris is here to share 4 practical tips for making the management of property owners simple and effective.

1. Set a Clear Start Date for Owner Agreements

When setting up the Owner Module, it’s important to choose a clear start date for the agreements. For example, you can select the day of the month on which you want to send the first invoice. This way, the new owner seamlessly aligns with existing agreements and invoicing cycles. This results in a clearer administration, where all agreements are properly aligned and ready for invoicing.

2. Use Labels Smartly for Owners

When configuring owners, it's smart to add labels right from the start. This creates a variety of handy opportunities for sorting and communication.

For example, you can label owners as annual guests, investors, private use, or based on their country of origin. These labels make it easy to filter and communicate with specific groups. Want to send an update on new pricing to all annual guests, or create a specific mailing for German owners? Labels help you easily do this via the reception message tool.

You can also filter these labels within the Owner Module to quickly export data about owners or agreements. This helps keep everything organised and saves time.

3. Efficiently Work with Profiles for Owners

In addition to labels, you can organise owners into profiles, which determine what access rights they have in their portal. Name these profiles based on the agreements made with the park. Terms like “Investor,” “Own Rental,” or “Flexible Rental” immediately give insight into the corresponding rights.

When setting up an owner, you can select the right profile with one click, automatically applying the same rights to owners with similar agreements. This not only creates clarity and consistency but also makes managing the owners much easier.

4. Maintain an Overview of Your Commission Agreements

To keep invoicing easy and efficient, it's important to minimise the number of different commission agreements. By standardising agreements, you create a clearer administration, reduce the chance of errors, and make reporting and analysis much easier.

Additionally, fewer commission types mean you can communicate faster. Updates and price changes can be applied in one go to all owners, streamlining your processes and making everything more efficient, both for you and the owners.
